Camp Rental Use Agreement

This CAMP RENTAL USE AGREEMENT (the "Agreement") is made by and between [Name of Organization] (the "User Group") and Camp Myrtlewood, a 501(c)(3) non-profit organized in the State of Oregon (the "Camp"), located at 49658 Myrtle Creek Rd, Myrtle Point, OR 97458.

Lodging and Meal Service

Price per person includes lodging/site use per night and 3 meals. Site use includes Forest Dell Lodge, Dining Hall, 8 Cabins, and outdoor areas.

  • Adults (including children 10 and older): $72 per person per night
  • Children between 4–9 years old: $36 per person per night
  • Children under the age of 4: No charge

There is a $2,000 minimum per night. Based on current entries, the Estimated Total is $0.00.

Deposit. An advance deposit of $2,000 is required to secure your reservation, payable to Camp Myrtlewood.

Final Count Confirmation. Camp Myrtlewood will send the User Group a separate Final Count Confirmation approximately 30 days before the arrival date. The User Group must confirm its actual final headcount at that time; this confirmed count is what is actually invoiced, not the estimate above.

Reservation Adjustment. Because the Camp staffs, provisions, and reserves space based on the User Group's anticipated headcount, a group that confirms fewer people than anticipated shares in covering those reserved costs through an adjustment based on the percentage shortfall: 1–10% fewer people is adjusted at 50% of the blended per-person rate, 11–25% fewer at 65%, and more than 25% fewer at 80% — applied to the missing person-nights, in addition to the charge for people actually attending. This adjustment is detailed further on the Final Count Confirmation document.

Camp Rules

The User Group leader will communicate the camp rules to all campers prior to arrival. All campers are expected to abide by these rules:

  1. Certified service animals only.
  2. Park in designated parking areas only.
  3. Protect against damages to camp property. Report any property damages to camp staff. Assume financial responsibility for destruction.
  4. Respect and preserve all wildlife, plants, trees, and other living things. Do not take rocks or other natural elements from camp property.
  5. No smoking, vaping, drugs, or alcohol.
  6. Keep camp free of litter.
  7. No food in sleeping cabins.
  8. Campfires in designated areas only. Fires are dependent on local and current fire restrictions.
  9. Conserve water and energy; use only what you need.
  10. Before meals, User Groups will set tables. After meals, User Groups will wipe down tables, sweep floors, and help with dishes.
  11. Upon departure, sweep all buildings used, discard trash and replace liner, and sanitize beds and surfaces.
  12. Respect the rights of camp neighbors and obey "No Trespassing" signs.
  13. Abide by the common sense rules of courtesy and safety.

Supervision and Safety

The User Group will follow Camp Myrtlewood's guidelines:

  • All children must be supervised at all times.
  • The Camp advises that the User Group background-check all adults supervising children.
  • The Camp advises that the User Group provide a certified lifeguard during water activities.
  • The User Group is expected to provide its own health care service, emergency transportation, and supplies.
  • The Camp advises the User Group to provide written parental consent for the treatment of injuries to campers under the age of 18.
  • The Camp advises the User Group to keep all prescription medication under lock and key, dispensed only per procedures approved by a physician and agreed to by the camper's parents.

Camper Insurance. Camper insurance coverage is provided by Camp Myrtlewood to safeguard against potential liabilities.

Indemnification and Hold Harmless. The User Group agrees to indemnify, defend, and hold harmless Camp Myrtlewood, its officers, employees, agents, and volunteers from and against any and all claims, liabilities, losses, damages, actions, costs, and expenses (including attorney fees) arising out of or resulting from any act, omission, or negligence of the User Group, its participants, guests, or invitees in connection with the use and occupancy of Camp Myrtlewood facilities and premises, including but not limited to injury to any person or damage to any property. This indemnity shall survive the termination of this Agreement.
